Canadian Game Forces (CGF) is a hobby gaming community run by one person in Alberta, Canada. This page says what we collect, why, and what you can do about it. To reach us: open a ticket on our Discord, or use "Contact staff" on our forum.
It covers this website (canadiangameforces.com), our Discord server, our DayZ and Rust game servers (the Rust servers are called "Hazard's Island"), the Steam account link, donations through Ko-fi, and our forum (forum.canadiangameforces.com).
1. This website
The website has no accounts and no analytics.
It sets no cookies, with one exception: the "Link your Steam account" page sets one cookie for 10 minutes, so that nobody else can finish your link. It is gone after that.
Our web server keeps the usual log of requests (your IP address, the page asked for, your browser) for about two weeks. The Steam link page is left out of that log.
The two game update pages can show the update's picture from Steam's servers and its video from YouTube's no-cookie player. Nothing is fetched from Steam or YouTube until you press the button; when you do, they see your IP address, as on any site that shows their content, and YouTube is told that the player was opened from our site (the site's name only, not the page).
2. The forum: "Log in with Discord"
"Log in with Discord" works only for current members of our Discord server. When you use it, Discord gives the forum:
- your Discord ID, username and avatar
- your email, only if Discord marks it as verified
- the list of ALL the Discord servers your account is in
The forum software (Discourse) saves Discord's whole answer in its database, the server list included. We use it for one thing: to check that you are a member of the CGF Discord server. We do not look through your other servers, use them, or share them.
If you don't want the forum to hold that list, sign up with a username and password instead.
3. The forum: your account and our emails
For every forum account, we keep:
- your username, and your avatar if you add one
- your posts, and your private messages to staff (ban appeals and "Contact staff")
- IP addresses and browser details in the forum's logs
If you sign up with a username and password, we also keep:
- your email address (confirmed by one activation email)
- your password as a hash (a scrambled form we cannot read)
We don't ask for your real name.
Who sees what. Your profile is shown to logged-in members only, and you can hide it in your settings. Your email and IP address are never shown to members.
Cookies. Only the forum's usual ones: your login and your preferences. No advertising cookies, no tracking cookies, and no analytics on the forum's pages.
Emails. The forum sends email only for the account confirmation, a password reset, staff replies in ban appeals and "Contact staff", and a notice that you were suspended or banned on the forum. No newsletter, no digests, no marketing.
How the emails are sent. They go out through Brevo, a mail service. Brevo counts how many of these emails are opened and which links in them are clicked. We have set it to count without tying that to a person; our plan with Brevo has no switch to turn the counting off. A link in a forum email shows the forum's address, but it passes through Brevo's own address before it brings you to the forum. When you follow such a link, Brevo sees your IP address, as any site you visit does.
4. The game servers (DayZ and Rust)
When you play on our servers, we keep:
- your Steam ID (SteamID64) and in-game name
- your play time and stats (kills, deaths, sessions and similar)
- chat lines and admin logs, for moderation
- bans (a ban on one game also applies to the other)
- IP addresses in the game servers' own logs
- the public ban record of your Steam account (how many VAC, game, community and trade bans, and how many days since the last one), read from Steam when you first join and once a day after that
Your in-game name and some stats can appear in public Discord channels, like the kill feed and the leaderboards. Public channels never show your position on the map.
Only staff see what the Steam check finds, in a private channel. It is never shown in public. Nothing happens automatically, but staff may ban an account from our servers based on what it shows.
5. Discord
Discord shares with a server and its bots your Discord ID, name, roles and the messages you post there.
Mee6, an outside company's bot, runs the levels and the tickets on our Discord server, under its own privacy policy.
Our own bot (CGF Bot) stores:
- the link between your Discord ID and your Steam ID, if you link them, and when and how it was made
- medals and counters worked out from your game stats
- the results of the Steam checks (section 4): your Steam ID, what Steam answered and when, and whether staff have looked at it
You link Steam with a one-time code typed in game, or with one click through Discord. With the one click, Discord tells the bot your verified Steam connection. Nothing else is stored.
6. Donations
Ko-fi handles the payment. Ko-fi sends us:
- your display name on Ko-fi
- the amount and currency, the time, and Ko-fi's transaction number
- whether the donation is public
- your Discord ID and Discord name, if you linked Discord on Ko-fi
Our own systems do not store your email or the message you wrote on Ko-fi. The owner can see both inside his own Ko-fi account.
We use the record to give you a supporter role on Discord and the priority queue on our game servers for 30 days. If your Steam account is linked, our bot also tells our game servers that you are a supporter.
If you boost our Discord server, our bot sees that from Discord and, if your Steam account is linked, tells our game servers the same while the boost lasts.
For each donation our bot keeps a small record: your Ko-fi display name, your Discord ID, the amount, the time and the transaction number. The record is in a file only the bot can read, and staff see the same things in a private staff channel. The email and the message are never in it.
7. Other companies involved
- Cloudflare sits in front of every page. It sees IP addresses and requests.
- Discord runs the chat server and the Discord login.
- Mee6 runs the levels and the tickets on our Discord server.
- Steam (Valve): we read public profile and ban information from Steam.
- Ko-fi handles donations.
- Brevo sends the forum's emails, so it handles your email address and the message. It counts opens and clicks on those emails, not tied to a person (section 3).
- hCaptcha checks that you are a person when you sign up on the forum. It sees your IP address and some browser signals.
These companies are based outside Canada, so they may handle your data in other countries, under their own privacy policies.
We sell nothing and share nothing for advertising. We give data to anyone else only if the law makes us.
8. Where it is kept, and how we keep it safe
Your data is on the owner's own machines at home in Alberta, and so are the backups. If a backup is ever kept somewhere else, this policy changes first.
The connection is encrypted (HTTPS). Passwords are hashed. Staff accounts on the forum must use two-step login. No system is perfect: if a leak puts you at real risk, we will tell you.
9. How long we keep it
- This website's request logs: about two weeks.
- Game stats and play time: until you ask us to delete them, plus up to 30 days in backups.
- Steam link: until you ask us to remove it, plus up to 30 days in backups.
- Steam checks: a clean result is deleted 90 days after you were last seen on our servers. A result staff haven't looked at yet is kept until they do. A result staff have accepted is kept until they take that back, plus up to 30 days in backups.
- Forum account and posts: until you ask us to delete your account, plus up to 30 days in backups.
- The forum's Discord login answer (with the server list): while your Discord login is connected to your forum account.
- Game server logs, game chat lines and admin logs: kept for moderation. Fixed limits are planned (90 days for logs with IP addresses, 12 months for chat lines and admin logs). They are not in force yet; this page will say so when they are.
- Bans: while the ban lasts. Planned, not in force yet: the record is removed 12 months after the ban ends. Permanent bans stay.
- Donation records: 18 months after the donation stopped counting, plus up to 30 days in backups.
- Backups: our nightly backups are kept for 30 nights, so something deleted can stay in them for up to 30 days.
10. Your choices and rights
You can ask us to:
- show you the data we hold about you
- correct it
- delete it
- unlink your Steam account
- delete your forum account: your profile and personal details are deleted, and your posts stay without your name
To ask, open a ticket on our Discord, or use "Contact staff" on our forum. We may ask you to prove the account is yours. We answer within 30 days.
Two things can't be deleted at once: ban records (we keep them so the ban holds) and backups (see section 9).
Not happy with our answer? You can contact the privacy commissioner for Alberta or for Canada.
11. Age
Our services are for adults. You must be 18 or older to use them. If we learn that someone under 18 is using them, we remove them and delete their account.
12. Changes and contact
We follow the principles of Canada's privacy law (PIPEDA).
If this policy changes, we post the new one on this page with its date, and say so on our Discord.
Questions: open a ticket on our Discord, or use "Contact staff" on our forum.
